Sentient Privacy Policy

This Privacy Policy explains how Sentient, developed by Sarthak Pramod Karandikar & Kabeer Ahmed Merchant, operating as Existence ("we," "our," or "us"), collects, uses, and protects your information when you use our web application ("the Service"). By using Sentient, you agree to the terms outlined in this policy.


Transparency Note: Sentient is open-source software. Our codebase is publicly available for review at our GitHub repository, allowing full transparency into how we handle your data.

1. Information We Collect

a. Account Information

When you register for our hosted service, we collect authentication information via Auth0, which may include your name, email address, and profile picture. In self-host mode, authentication is managed via a static token, and no personal data is sent to Auth0.

b. Onboarding and Profile Data

During onboarding and in your settings, we collect information to personalize your experience, such as your name, location, timezone, and professional or personal context you provide.

c. Data from Third-Party Integrations

When you connect third-party services (e.g., Google Workspace, Slack, Notion, GitHub, Trello, Discord), we access data from those services based on the permissions you grant. This can include email content, calendar events, file contents, messages, and other data necessary for the agent to perform tasks. We only store encrypted credentials required to maintain the connection. The content of your data is processed on-the-fly to extract context and is not permanently stored on our servers, except as described in our memory system.

d. User-Generated Content

We store the content you create within Sentient, such as tasks, chat conversations, and memories you explicitly add.

e. Voice Data

When you use Voice Mode, your audio is streamed to our servers for real-time speech-to-text transcription. We do not store audio recordings after transcription is complete.

f. Uploaded Files

Files you upload for context are stored temporarily on our secure servers so the AI can access them to complete your requests. These files are subject to periodic cleanup and are not stored long-term.

g. Usage and Analytics Data

We use product analytics services (like PostHog) to collect pseudonymized data about how you interact with our Service. This includes feature usage, performance metrics, and user flow information to help us improve Sentient.

2. How We Use Your Information

Your information is used to:

  • Provide and Personalize the Service: Authenticate your account, process data from connected apps to generate tasks, and personalize AI interactions.
  • Execute Autonomous Tasks: Use credentials for connected services to perform actions on your behalf, such as sending an email or creating a calendar event.
  • Build Your Memory: Extract facts and information to create a personalized knowledge base for the AI agent, enabling more context-aware assistance.
  • Communicate with You: Send notifications, such as task updates, via our application or optionally via WhatsApp.
  • Improve the Service: Analyze usage data to understand user behavior, identify issues, and enhance features.
  • We explicitly do not use data from your connected services (like Google, Slack, etc.) to develop, improve, or train generalized AI/ML models.

3. Data Storage and Security

  • Databases: Your profile information, tasks, and other metadata are stored in databases like MongoDB and PostgreSQL.
  • Encryption: Sensitive information, such as credentials and API keys for third-party integrations, is encrypted at rest using AES-256 encryption.
  • Data in Transit: All communication between your browser and our servers is encrypted using TLS.
  • Self-Hosting: If you self-host Sentient, all data is stored on your own infrastructure, and you are responsible for its security.

4. Data Sharing & Third Parties

We do not sell your personal data. We only share it with third-party services under the following circumstances to provide the Service:

  • Cloud & Database Providers: We use services for hosting the application, database management (e.g., MongoDB Atlas), and task queuing (e.g., Redis).
  • AI & LLM Service Providers: Relevant contextual data (like email content or task descriptions) is sent to Large Language Models (e.g., OpenAI) and embedding models (e.g., Google Gemini) to generate plans, responses, and semantic understanding. In self-host mode, you control which provider is used.
  • Voice Processing Services: For Voice Mode, audio data is processed by Speech-to-Text (e.g., Deepgram, ElevenLabs) and Text-to-Speech services.
  • Third-Party Integrations: To perform actions on your behalf, we send requests to the APIs of the services you have connected (e.g., Google, Slack, Notion).
  • Analytics Services: Usage data is sent to our product analytics platform (PostHog).

5. Your Rights & Choices

  • Access and Update: You can access and update your profile information at any time on the Settings page.
  • Manage Integrations: You can connect, disconnect, and manage permissions for third-party services on the Integrations page.
  • Privacy Filters: You can configure keyword, sender, and label filters to prevent Sentient from processing sensitive information from your connected accounts.
  • Data Deletion: You can request the deletion of your account and all associated data by contacting us.

6. Children's Privacy

Sentient is not intended for users under the age of 13. We do not knowingly collect information from children.

7. Policy Updates

We may update this Privacy Policy from time to time. We will notify you of any significant changes. Your continued use of the Service after such changes constitutes your acceptance of the new policy.
